Position Title: Communications & Administrative Specialist

The League of Women Voters is seeking a part-time Communications and Administrative Specialist to support the work of the League of Women Voters of the St. Petersburg Area. The position will be located in the Sanderlin Center at the LWVSPA office. The Communications and Administrative Specialist will have office operations responsibilities, including membership data collection and reporting,  and will work to heighten League visibility in the community, including using digital and traditional media to inform and influence. 

Role: Supports the Membership Committee in maintaining records and reporting. Supports the Board, Voter Services Committee,  and Media & Publicity Committee in promoting the League’s image and activities among members and in the community.

General responsibilities will include:

Operations

  • Provides event support including all-member meetings, Annual Meeting & Luncheon (April) and Program Planning (February);
  • Provides office administrative duties, such as managing office supplies and environment; document retention and storage; copying; organizing information; and supporting the treasurer in receipt management and fiscal record keeping; 

Membership

  • Works with Membership Chair to maintain LWVUS and CC membership databases for official League purposes.
  • Interfaces with state and national membership contacts as needed or requested.
  • Works with Membership Chair to capture member information, interests, and involvement in CC database. Also track membership renewals and new member activity including when new members attend Orientation and their engagement in the first 6 months. Keep current weekly and provide a report to the Membership Chair monthly. 
  • In conjunction with Membership Chair, determines what materials to provide to new members. 
  • Develops and monitors an infrastructure to maintain required records and event related documentation. 
  • Works with Membership Chair to capture donor information in CC database and track contributions by campaign or event. Keep current weekly and provide a report to the Fundraising Chair monthly. 

Communications

  • Communication support, including managing incoming requests for information through phone, email and snail mail; sending communications internally and externally through email, social media support; and supporting internal communications (Weekly Update)
  • Constant Contact or related database; 
  • Outreach to community organizations as directed
  • Produces Weekly Update email for distribution to LWVSPA membership, with input from the Board and Team Leads.
  • Coordinates with The Voter newsletter editor to ensure content is comprehensive and aligned across communications platforms.
  • Oversees the official LWVSPA online calendar.
  • Assists Website Manager and web developer contractor with maintenance of the website.
  • Support the Voter Services team to schedule and post social media content and events using management tools like Social Pilot (for Twitter, Instagram, Facebook)
  • Purchase election related social media boosts and ads
  • Works with Voter Service on promotion of Pinellas Voter Guide leading up to all primary and general elections.

Finance

  • Deposits checks sent received at the office to appropriate bank accounts. 
  • Sends notification of membership dues payments to the Membership Chair. 
  • Manages receipts by saving to shared drive. 
  • Scans and saves bank statements to shared drive. 
  • Manages PayPal account and assists bookkeeper with reconciliation. 
  • Support bookkeeper and Treasurer with the annual budgeting process. 
  • Assists bookkeeper with grants management and expense tracking. 
  • Solicits W-9s from new vendors and sends them to the bookkeeper.

  • Understands the nonpartisan nature of LWVSPA work
  • Works with action team leads re: member engagement, publicity of events, and program activities.
  • Involves others. 
  • Divides and suggests task assignments.
  • Is positive, courteous, and diplomatic when promoting the League. 
  • Submits material to digital and traditional media with ample lead time and in the form requested.

Minimum Qualifications:

  • Detail oriented, organized and efficient, be proficient at Microsoft Office, Constant Contact, Social Media Management and Content Creation, and experience with other software programs as a result of previous experience; 
  • Have a collaborative style, be interpersonally savvy, and flexible; 
  • Be proactive, outcomes oriented and effective at getting work completed with high quality; 
  • Have excellent problem solving and communication skills and be able to multitask;  
  • Demonstrate good judgement, know how to prioritize, when to escalate issues, and manage issues with urgency and discretion;
  • Proven prior experience with volunteers and organizing and working with nonprofits, volunteers, grassroots organizing
  • Minimum two years work experience in an office environment

Preferred Qualifications:

  • Experience working with public relations, marketing, and media
  • Fundraising experience and working with donors

Position Details: 

The position is a part-time 1099 contract. Duties will include membership, operations, and communications work for our local League. The position will report to the LWVPSA President.

Estimated number of hours per week: 15-20 hours; flexible schedule; work from home possible

The start date is January 2022.

The salary is set at $20/hr.
